The IM&T leadership team serves as the Project Management Office (PMO) to prioritize and categorize approve projects and to manage resource allocations.

Effective 4/1/24, Information Management & Technology (IM&T) suspended the process of seeking centralized funding for new technology purchases. If a department desires to purchase technology, the department must identify funding or request it through the annual budget process.

IM&T will continue collaborating with the Academic Technology Advisory Group (ATAG) to replace existing academic technology, including student-facing computers in labs and classrooms and audiovisual equipment in academic classrooms, with added scrutiny. To be eligible for centralized IM&T funds, academic technology requests must be tied directly to instruction, replace existing legacy technology, and be supported by data-driven evidence of utilization.

  • What requires an IM&T Project?

    IM&T project requests are required for any technology purchase or implementation that requires substantial IM&T resources, contains personally identifiable information (PII), requires a data feed from an existing system, or represents a security risk.

    IM&T Project requests are also required for academic technology projects seeking ATAG funding. To be eligible for centralized IM&T funds, academic technology requests must be tied directly to instruction, replace existing legacy technology, and be supported by data-driven evidence of utilization.

    IM&T will vet each project request through the IM&T Project Management Office (PMO) and the appropriate IM&T Governance Group when necessary.

  • How do I submit an IM&T Project Request?
    • IM&T Project Requests should be submitted through the IM&T Project Survey at the following URL:

  • When should I submit an IM&T Project Request?
    • Projects can be submitted at any time throughout the year. IM&T requests that departments submit projects as early as possible to ensure ample planning time.
    • Projects seeking ATAG funding for FY26 (7/1/25 - 6/30/26) must be submitted by 11/1/24.
  • How are resources allocated to a Project?
    • The IM&T PMO will prioritize approved projects based on available resources. IM&T does not guarantee that a project will be implemented or purchased within the timeline requested by a department. Departments will be responsible for collaborating with the Budget Office or the Office of Sponsored Programs to receive a variance when technology requests cannot be purchased and implemented within a fiscal year that funding is available. IM&T recommends that departments submit IM&T Project Requests as early as possible to reduce the risk of not completing a project within a desired fiscal year.
    • The IM&T PMO is responsible for assigning IM&T Staffing resources to a project and determining when a project will start.
    • All approved IM&T Project Requests will reside in a planning pending resources status until IM&T Staffing resources are allocated.
    • All IM&T Projects that are not approved will reside in a project backlog and will be reevaluated by the PMO, ATAG and ITC during the next project evaluation cycle.
  • What are the project stages?
    • Initiation - Submitted projects that are awaiting initial approval from Program Managers, the IM&T PMO, or a Dean, AVP, or VP.
    • Planning - Projects that have received initial approval and are being scoped and planned.
    • Planning Pending Resources - Projects that have received final approval but are awaiting IM&T staffing resources.
    • Execution - Projects that are actively being worked on.
    • Backlog - Projects seeking ATAG funding that have completed the annual project request process and have not received funding and projects seeking centralized ATAG funding that were submitted after the initial deadline and are not currently under consideration.
    • Abandoned - Projects that were not completed or approved and are no longer under consideration.
    • Complete - Projects that have been successfully completed.
